Creating a Standard Flight Report

Flight Reports are highly customizable flight-record documents that contain data from multiple flights - frequently used across the world for compliance purposes. AirData offers four Report types:

  1. Standard Flight Report 
  2. Maintenance Report
  3. FAA COA Report
  4. Equipment Report

This help page will demonstrate how to create a Standard Flight Report, turn the created report into a template for reuse, and schedule it to be delivered automatically on a regular basis.

Creating a Standard Flight Report

Head to "MY LOGS" -> "REPORTS" and select "Standard Flight Report."

Begin by providing a name for this report. Under "Select Period:", you can choose one of our preset options from the dropdown menu, or create your own date range. If desired, provide any notes for this report in the "Notes:" field.

Flights to include

Under the "Flights to include" dropdown, we provide three different methods to filter which flights to include in the report:

  • Filter by Participants: select the participant role(s), and choose the people you'd like to include. 

  • Filter by Drones: select all aircraft to include in the report.

  • Filter by Tags: flight tags allow for the classification of flights. Manage your flight tags here.

Flights to exclude

We understand that you may not want to include short flights, such as test flights, which you configure in this section.

Fields to display

This section allows you to choose exactly what data for each flight you want in the report. As illustrated below, there are many options to choose from. Simply toggle the sliders next to each data field, on or off.

Units and sort by

The last step in customizing your Standard Flight Report is to select your units, and the order in which you'd like the flights to be listed, under "sort by."

Downloading the Standard Flight Report

When you finish configuring the report, click on "Continue", and you will be taken to a page that shows the list of flights that will be included in the report. Feel free to deselect any flights at this time to exclude them from the report. When you are satisfied, click on "Finalize/Save" to run the report.

When the report is generated, you will see the report overview, along with options for viewing or downloading the report.

Creating a template for reuse

It may take some time to initially customize the perfect report for your organization, which is where turning a report that you created into a template, for reuse, a big time-saver.

Notice that in the above image, you can click on "Save As Template" at the top right - when you click on it, provide a name for the template and hit "Save Template." You will now see the template under the templates tab.

Creating a schedule for auto-delivery 

Now that we have created a Standard Flight Report and turned it into a template, we can schedule that template to automatically be delivered to people on a frequency of our choosing.

Select the template, and click the blue button at the bottom that says "Schedule Report." After providing a name, select how often you would like the report to be sent and in what file format. Under "Recipients", add as many emails as necessary. Add any desired notes, and click on "Save" to create the schedule.

You can always edit the schedule by clicking on the report under the "Schedules" tab.

I have a question about flight titles in the report. Is that something that can be imported from the flight data, or is that just updated after?
I ask because I need to title each flight with the field asset associated with that location. Is that possible?

Hi Joe,

Thank you for sharing this question.

The "Flight Title" field is edited from a flight's listing on the AirData web portal.
You write: "I need to title each flight with the field asset associated with that location."

Can you send us an email at support@airdata.com with a description of your use case and a sample report of what you are trying to capture?
While you can certainly edit the titles for each of your flights, it may be easier to use another feature to record field asset info.

So we share our AirData account with our neighboring agency. We have a regional real-time crime center. We have 3 dock drones, and our neighbors have 4. Due to the geography of our cities and dock locations, our neighboring agency often uses our drones for flights on the east side of their city. All flights flown for my city are tagged ("CCPD"). I can run a report selecting only our 3 docks with the tag "CCPD". But if I choose "CCPD" and "First on Scene" I will get all of our flights and the neighbor's flights with the First on Scene tag. Is there a way I can run my department tag and first on scene to get just those results?

Hi Dan,

This is a great use of our reporting feature. If I understand correctly, you are looking to create a report on only your agency's dock flights with the "First on Scene" tag. I created a video walkthrough showing how to set this up.

Trevor are there any other ways to run that report? That still will not work. We do have organization set up however because of our real time crime center members from both agencies fly missions for each other’s respective calls for service so in other words, if I did a breakdown of just CCPD personnel, I would not be capturing the data of missions flown in my jurisdiction by PSPD members working in the Real time crime Center. I hope that makes sense.

The plot thickens 😊

With your setup, it sounds like flights need to be separated at the flight level rather than by organization or pilot.

Your original idea of using the CCPD and First on Scene tags was on the right track. However, our system does not currently support AND/OR logic for tags. That means there is not currently a built-in way to show only flights that have both the CCPD and First on Scene tags.

As a workaround, you can export a report that includes both tags and then import it into a tool like Excel, Google Sheets, or Airtable. From there, you can filter the data to show only the flights that have both tags. Select "Tags" as under "Fields to display" when creating the report to see all tags on the flight.

Thanks Trevor. That is what I thought, just wanted to see if there was another way around it within Airdata for stats we like to share with stakeholders (first on scene, cleared call with no officer response, assisted in arrest, etc.).

I appreciate the time though.
